Checking in confirms that you are physically present at the office and prevents your booking from being automatically cancelled. You can check in from the deskbird app, the web, or by scanning a QR code at your desk.
1. Check in from the app or web
- Go to Bookings > Upcoming bookings in the deskbird web or mobile app.
- Find your booking for today.
- Click or tap the Check in button next to your reservation.
- Your booking status will update to
Checked in.
💡 The Check in button only appears shortly before or during your booking window. If you do not see it yet, check back closer to your booking time.
You can also view your checked-in and pending check-ins from the Schedule view.
2. Check in using a QR code
If your company has QR codes displayed at desks or resources, you can use them to check in directly:
- Open the deskbird mobile app.
- Go to Upcoming bookings and tap Check in.
- Your camera will open — scan the QR code displayed at the desk or resource.
- Your booking will be marked as
Checked in.
💡 QR code scanning works even if your company's check-in setting is simple check-in. You can always use a QR code as an alternative method.
3. If you forget to check in
What happens when you miss the check-in window depends on your company's settings:
- Your booking may remain active with no consequences.
- You may have a short grace period to still check in after the window opens.
- Your booking may be automatically cancelled if no check-in occurs within the grace period.
💡 Enable email and push notifications under Notification settings to receive check-in reminders before your booking window opens.
4. FAQs
Yes. Users with admin rights can check in colleagues from the Bookings section by finding your booking marked Now and clicking Check in. This option is not available if your company's check-in mode is set to QR code only.
Yes, if your company has enabled geolocation-based automatic check-in and you have activated it on your phone. When you arrive near the office, deskbird checks you in automatically. See Enable automatic check-in for setup steps.
