The guest booking feature in deskbird lets you reserve a desk or parking spot for an external visitor — such as a freelancer, client, or interviewee — so they have a confirmed space when they arrive. The guest receives an email confirmation with all the details.
1. Book a desk for a guest
- Go to the Book section in the deskbird web app.
- Select the date and the desk or parking spot you want to reserve.
- In the booking type selector, choose Guest.
- Enter the guest's name and email address.
- Review the details and click Confirm.
⚠️ Never reuse the same email address for different guests. deskbird treats the email as a unique identifier, so reusing it can overwrite a previous guest's booking. If the guest should not receive an email, use a format like your.name+guestname@yourdomain.com.
💡 Guest bookings appear in your Upcoming bookings so you can edit or check them in easily.
2. What the guest receives
Once the booking is confirmed:
- The guest receives an email confirmation with the booking date, location, and desk details.
- You (the booking owner) also receive a copy of the confirmation.
Guests are displayed as external visitors on the office overview, so your colleagues are aware someone from outside the company will be present.
3. Check in on behalf of a guest
Guests cannot check in themselves. If check-in is enabled at your company, you — as the booking owner — must check in on their behalf:
- Go to Bookings > Upcoming bookings.
- Find the guest booking.
- Click Check in when the check-in window opens.
4. FAQs
Global admins and office admins can always make guest bookings. Whether standard users or managers can also create guest bookings depends on your company's settings, configured under Booking settings > Booking for Guests. If you do not see the Guest option when booking, contact your admin.
No. deskbird uses the email address as a unique identifier for each guest. If you use the same email for a different guest, it may overwrite the existing guest record and cause booking errors. Always use the guest's real email address, or if you need a placeholder, use a unique alias such as your.name+guestname@yourdomain.com.
