Digital signage turns any large display — a lobby TV, a floor-entrance monitor, or a hallway screen — into a live, read-only view of a deskbird floor plan. Visitors and employees instantly see who's in the office, which desks are taken, and which meeting rooms are free, all without needing to log in. Data refreshes automatically every 30 seconds, so the view always reflects what's happening right now.

1. Requirements
Before setting up digital signage, make sure the following is in place:
- The floor you want to display has a published floor plan in deskbird. Floors without a published plan will show an empty state on the display.
- You have an admin account in deskbird. Only admins can pair a new signage screen.
- The deskbird mobile app is installed on your phone and you are logged in.
- The display device has a modern browser (e.g. Chrome, Edge, Safari) and a stable internet connection.
2. What is shown on the display
Once paired, the screen shows a live, read-only view of a single floor, including:
- The published floor plan scaled to fill the screen.
- Desk bookings for the current day, including guest bookings and anonymous bookings, with user avatars and name badges on the map.
- Meeting room availability (free / busy) where rooms are configured on the floor.
- A sidebar listing who is in the office today, grouped by zone or area.
- Floor status (e.g. when the floor is closed).
The view automatically refreshes every 30 seconds, so bookings, check-ins, and room status stay up to date without any manual action.
💡 The display is fully read-only. No one can book, cancel, or check in from the screen — it's designed purely for wayfinding and presence visibility.
3. Set up digital signage on a screen
Setting up a new signage display is a one-time pairing process. Once done, the screen keeps itself updated automatically.
Step 1 — Open the setup screen on the display
On the device you want to use as signage (TV, monitor, mini PC with browser, etc.), open a browser and go to:

A QR code will appear along with pairing instructions.
💡 Optional — Set the display language
By default, the signage view is shown in English. To display the screen in a different language, open the kiosk URL once with the ?lang= parameter set to your preferred locale, for example https://kiosk.deskbird.com/floorplans?lang=de for German or ?lang=fr for French. The chosen language is saved on the device, so you only need to do this once per display. The language is set per screen — different displays in the same office can each use a different language if needed.
Step 2 — Scan the QR code with your phone
Open your phone's camera or QR code reader and scan the code shown on the display. This opens the deskbird mobile app on your phone.
⚠️ The pairing session stays valid for a limited time (shown at the bottom of the setup screen, e.g. Session times out in 08:50). If it expires, click Generate new QR code on the display and scan again.
Step 3 — Select the office and floor
In the deskbird mobile app, after scanning, log in as an admin if prompted. You'll be asked to choose:
- The office this display belongs to.
- The floor whose floor plan should be shown on the screen.
Tap Submit to confirm.
Step 4 — The display goes live
The screen that showed the QR code automatically switches to the live floor plan view. You can now mount the display in its final location — no further action is needed.
💡 Once paired, the screen remembers the floor. If the device restarts or reloads the URL, it automatically reconnects to the same floor.
4. Recommended hardware and setup
Digital signage works on any device that can run a modern browser in full-screen mode. Common setups include:
- Smart TV with built-in browser — simple, no extra hardware needed.
- TV + mini PC or Chromebox — most reliable option for always-on deployments.
- Tablet (10" and up) — good for narrower spaces or individual floor entrances.
- Large-format display (up to 55"+) — best for lobbies and main entrances.
For the best experience:

- Make sure the device stays connected to Wi-Fi or Ethernet — the signage view needs the internet to refresh.
💡 The floor plan map scales automatically to the viewport. The same setup works from a small monitor up to a 55" TV without configuration changes.
