If you manage a team or have admin rights in deskbird, you can create bookings on behalf of your colleagues — useful when onboarding new team members or coordinating office days for your team in advance.
1. Who can book for a colleague
Only users with the Admin or Manager role in deskbird can create bookings for other people. The people you can book for depends on your role:
- Managers can book for members of their managed teams or offices.
- Global admins can book for any person in the organisation.
If you do not see this option, contact your admin to check your role.
2. Book on behalf of a colleague
- Open the Book tab in the deskbird web or mobile app.
- Select the date and resource you want to book.
- In the booking panel, locate the attendee or user field and remove yourself from the booking.
- Search for and select your colleague's name.
- Review the booking details and click Confirm.
The booking will appear in the colleague's Upcoming bookings, and they will receive a confirmation notification.
🔐 You can only see and book for people within your managed scope. If a colleague does not appear in the search, you may not have the required permissions for their office or team.
3. Book multiple dates for a colleague
- Follow the steps above to set up the booking for your colleague.
- Before confirming, click + More dates.
- Select all the additional dates you want to book.
- Click Confirm to create bookings across all selected dates at once.
deskbird will assign the same desk on each date if it is available. If the desk is already taken on a particular day, that date will be skipped or you will be prompted to choose an alternative.
