1. Booking exports
To export your booking data (reservations for desks, parking spots and other resources):
- Open the deskbird web app
- Go to the Admin and select Bookings
- Choose between Upcoming or Completed bookings
- Select a specific office if needed
- Click Export bookings to .xlsx
You can export data for a specific time frame or for all bookings. The resulting Excel file contains details per office, booking, user group, and user.
2. Users export
A list of users can be exported via Admin > Users > Export CSV. You can choose to export the entire list of users or, if filters have been applied, only the filtered results.
When exporting, select:
- Export all users – to download the complete list
- Export users with current filters and sorting applied – to export only the filtered results
3. Office Analytics export
Office Analytics provides insights into how desks, rooms, and parking spaces are used.
- Open the Admin
- Select Analytics and navigate to the Office Analytics tab
- Apply filters (e.g. location, timeframe)
- Click the Export button in the top right corner
This generates an Excel export that includes KPIs such as desk utilization, no-show rates, and office attendance data by day.
💡 A maximum period of 3 months can be exported. Therefore, use the date picker to first select 01.01.2025 > 31.03.2025 > Export report, then select 01.04.2025 > 30.06.2025 > Export report to download data covering a longer period.
4. Workforce Analytics export
Workforce Analytics lets you explore trends in hybrid work and attendance by user group.
- Go to Admin > Analytics > Workforce Analytics
- Apply filters such as user groups, offices, and timeframes
- Click the Export analytics button
You can export:
- All data or only a selected timeframe
- Details by date, user, user group, and status (e.g. Mobile work, Office)
The exported Excel file gives you a daily breakdown per user and status.
5. Public API
Looking to integrate deskbird data into your own systems or dashboards? Our Public API allows you to access data such as bookings, users, check-ins, and more.
For example, you can:
- Fetch booking and user data on a recurring basis
- Sync check-in statuses with third-party systems
- Automate custom reporting or analytics pipelines

Note: Using the Public API requires technical setup. We recommend involving your IT team or a developer.
6. Meeting room bookings
Meeting room bookings cannot currently be exported. This feature is under development.
7. FAQs
Due to GDPR compliance, deskbird applies a standard anonymization period of 180 days. This means that admins may only be able to export scheduling and booking status data for the most recent 180 days.
To ensure employees have the records they need — for example, for income tax filings that require documentation of home office days — we recommend that admins export Workforce Analytics data on a regular basis (e.g. quarterly) and archive the reports internally.
Office Analytics exports are capped at a 3-month period per download. To cover a longer timeframe, run multiple exports with consecutive date ranges and combine them manually.
Manual exports through the admin panel don't support scheduling. If you need automated, recurring data extraction, consider using the Public API to build a pipeline that fetches and stores data on a regular basis.
deskbird anonymizes personal data after 180 days by default to comply with GDPR. If you need historical data beyond that window, make sure to export and archive reports regularly.
