The Floors & spaces section in deskbird lets you define and manage your office layout, from floors to individual desk areas, meeting rooms, and more. This setup forms the foundation for interactive floor plans, access restrictions, and user booking management.
1. Create, edit and delete floors and spaces
Access the Admin panel and navigate to Office configuration > Floors & spaces.
- Add a floor: Click Add floor, give it a name (e.g. “Floor 01”), and set its status to either Active or Inactive. Remember to click Save.
- Add an area: Expand the floor by clicking the arrow next to its name, then click Add area. Choose the area type (Desk area, Meeting room, Parking area, or Other), define the Name, Capacity, and optionally add a Description.
Once created, you can click Details on any area to:
- Rename the area
- Edit its description
- Delete the area
2. Meeting Rooms and Desks

3. Floor plans
After setting up your floors and areas, you can place them visually on a floor plan to help users navigate and book more easily.
We explain this in detail in our article Floor plans.
💡 Note: Resources do not need to be placed on the floor plan to be bookable. As long as a resource is set to active, users can make bookings.
4. Manage access
deskbird allows you to control who can book which areas, making it easy to support use cases like team-specific zones, VIP-only spaces, or shared access with priority logic.
To configure access for an area:
- Go to Floors & spaces in the Admin panel.
- Expand the floor and click Details next to the area.
- On the right side, you’ll see an Access section.
You can choose from three access types:
- Open access: Default option. All users who can access the office can book this area without restrictions.

Priority access: Grants a user group or individuals early access. Other users can still book, but only:
- Starting one day in advance from a specified time
- If desks are still available after priority users have made their bookings
Example: Finance has priority for 4 desks. If they book only 3, someone from Marketing can book the remaining desk one day in advance from 4 PM.
- Restricted access: Only specific users or groups (e.g., Finance, Customer Success) are authorized to book. You can also hide this area on the floor plan for users without access.
💡 Admins, Office Admins, and Managers can always book any area, regardless of restrictions.
