QR codes make it quick and simple for users to check in or book a resource, right from their phones. With deskbird’s built-in QR code generator, admins can easily create and customize codes anytime, helping to boost adoption and streamline space usage across the office.
QR codes created before May 8, 2025 will no longer work when scanned using a phone’s native camera app starting August 25, 2025.
This change is due to the upcoming shutdown of a technology previously used to connect QR codes to the deskbird app (Google's Firebase Dynamic Links).
What this means:
- ⚠️ Scanning older QR codes with a phone’s built-in camera will result in an error message.
- ✅ QR codes will continue to work when scanned within the deskbird mobile app.
- ✅ A new, stable link structure is already live and in use for newly generated QR codes.
What you need to do:
- Regenerate your QR codes via the deskbird platform
- Download and distribute the updated versions
💡 Old QR codes can still be used within the deskbird mobile app even after the shutdown. A scanning option will be implemented before August 25.

1. How to Generate QR Codes
Before you begin, make sure you have:

Your company logo (a transparent background works best!)

Your brand’s HTML HEX color code (check with your Marketing team if you're unsure, or experiment using the built-in color chart)
To create QR codes:

Go to the web app → Admin Portal → Office Settings → Floors & spaces

Browse your setup: floors, areas, and desks you've already created

Select the level you'd like to generate codes for:

Single desks or floors: Hover your cursor and click the QR code icon

Entire areas: Click on Generate QR codes in the top right corner

Choose a color (HEX code or color picker) and upload your logo

Preview your design and click Confirm to generate
Your QR codes will match your office branding and be ready to go!
2. Printing Your QR Codes
After confirming, your files will download automatically:

Single desks → PDF file

Entire areas → ZIP file with organized folders
Each file is named after the corresponding area or desk to facilitate sorting. Review the files and print when you're ready.
💡 Tip: Download and print QR code posters for better visibility and adoption. Place them around your office to encourage check-ins in a fun and visual way!

Yes! QR codes are linked to their assigned desk or area and stay valid unless the resource is deleted. You can re-download or adjust the design (e.g. colors, logo) as often as needed, the code will still point to the right location.

If you see the message:
Invalid Dynamic Link Requested URL must be a parseable URI, but possibly incomplete to be a DynamicLink.
This usually means you're scanning an outdated QR code. Please scan it using the deskbird mobile app, or re-create the code in the admin area to generate the latest version.
Yes, if the QR code was generated after May 8, you can scan it with your native camera app or any QR reader, even after August 25.
For advanced design needs, you can export the QR codes and edit them externally to match your branding.
