Desks Enterprise Workforce Enterprise UDM (User and Data Management)
Integrating your Human Resources Information System (HRIS) with deskbird helps you automate user and group management without requiring SCIM. This setup ensures user provisioning, de-provisioning, and dynamic group structures are always up to date.
Below is a list of HRIS systems currently supported for absence or organizational sync. Please contact your Customer Success Manager (CSM) for detailed information related to your specific HRIS system or if your HRIS system is not listed here. For setup instructions, you can refer to the linked Merge documentation.

1. Overview & Benefits
- Automated User Provisioning: New users from your HRIS are automatically created in deskbird.
- Auto Deactivation: Users who leave or are deactivated in your HRIS will be disabled in deskbird.
- Dynamic Groups: Teams, departments, cost centers, and other groups can be synced into deskbird.
- Manager Mapping: Reporting lines can be used to enhance visibility and validate hybrid work plans.
- Optional Absence Sync: Helps with planning and availability tracking.
2. Setup Prerequisites
- An active plan: Desks Enterprise, Workforce Enterprise or the User & Data Management add-on.
- API credentials from your HRIS with read access to:
- Email, first name, last name, status (active/inactive)
- Optional: teams, departments, supervisor info, cost centers
3. Example Setup with Personio
In Personio:
- Go to Settings Integrations API credentials
- Create a new API key called deskbird user and group sync
- Enable read access to:
- Employees
- Org Units
- Absences (optional)
- Ensure these attributes are selected:
- Email, First name, Last name, Status, Last modified
- Optional: Supervisor, Team, Department, Cost center
- Save and copy your Client ID and API Secret.
4. Configuration in deskbird
- Go to Admin > Integrations in deskbird.
- Select Sync with your HRIS.
- Enable Organization sync and select your HRIS provider.
- Enter your credentials and follow the on-screen steps.
5. What gets synced

Users:
- New employees auto-created in deskbird
- Inactive/terminated users auto-deactivated
- Email matching ensures no duplicate users
⚠️ All users available in the HRIS are automatically imported into deskbird. Restrictions can only be set within the HRIS (if available).

Groups:
- Teams, departments, cost centers auto-created
- Groups show HRIS as their source
- Manager Mapping: Reporting relationships are synced for visibility and workflow logic

6. Known Limitations
- Some HRIS tools do not support nested groups.
- Profile image sync may not be available for every HRIS.
