Empowering our admins to be independent in managing their office spaces is essential. The QR Code generator feature is designed precisely to enhance your customization capabilities.
Now, admins can effortlessly generate QR codes whenever and however they want to, eliminating the need to reach out to our Support team for every code generation request.
1. How to generate QR codes:
Make sure your company logo and HTML HEX color code(s) are ready before generating new codes. If your company does not use any specific HTML color codes, you can ask your Marketing Team or have fun exploring the color chart and see how different combinations look together.
- Go to our web app > Admin Portal > Office Settings > Floors & spaces.
- In this section, you will see the floors, areas, and desks you have previously created. Admins can generate QR codes for individual desks, entire areas, whole floors, or all areas across all floors.
- Select the desk, area, or floor you would like to generate the QR codes for.
- If you want to generate the codes for a single desk or floor, you can simply move your cursor, and the QR code icon will appear. If you wish to generate the QR codes for a whole area, click on the +QR code generator button in the top right corner.
- Enter the HTML HEX color or select the color from the color chart. Upload the logo.
- If you like the preview, you can click on Confirm.
This level of customization ensures that admins have the flexibility to create QR codes that align perfectly with their office layout and needs.
2. QR Code printing:
After generating the QR codes, the automatic download will have started. You will get a single-desk file in PDF format and whole areas in a structured zip file. The pdf will carry the name of the areas they have been generated for, so they are easy to find and distinguish in your Downloads folder.
Review the codes and print them if they meet your expectations. The QR codes are organized in folders, making it easy for you to print and distribute them in any format while ensuring readability.
💡 If you are looking to increase adoption and visibility even more, we suggest downloading and printing our posters as well. You can strategically place them around the office, providing a fun but effective reminder for users to book and check in via QR codes.
3. Best practices
- We recommend printing on laminated codes to withstand regular desk cleaning.

4. We already had QR codes; what happens to the old ones?
Once a QR code is generated for a specific resource or area, it becomes their permanent identifier. While the QR code remains constant, the styling, such as color and logo, can be changed anytime to suit your preferences. Feel free to generate the QR codes as many times as you need, and it will maintain its unique identity. Even if you download it again with different styling, the underlying QR code, when scanned, will still represent the associated resource or area.
