The new Plan (Schedule) tab lets you decide where you work each day, see what your colleagues have planned, and check how busy the office will be—all in one place.
💡 What's new: we've redesigned how you plan your office days. The tab that used to be Schedule is now Plan, and it works like a real calendar: see a week or a whole month, click a day, set where you'll work, and see what your colleagues have planned.

1. The Plan tab
The Plan tab is your home base for planning in deskbird. A calendar at the top shows the current week, and you can switch to Month to plan further ahead. Click any date and the page below shows that day.
From here you can:
- See your status for each day directly in the calendar
- Click any day to set or update your status
- Switch between Week and Month, or jump back with Today
- Switch to the Colleagues or Your team tab to see what your team has planned
💡 If your company uses desk booking, setting your status to Office shows booking suggestions for that day under Suggested for you. Click Quick book to book a desk or parking spot without leaving the Plan tab.
2. Set your status for a day
To set or change your status for a specific day:
- Go to the Plan tab.
- Click the day you want to plan in the calendar.
- Select your status, for example
Office,Home Office,Mobile work,AbsentorBusiness travel. - Your plan updates immediately — there is nothing else to confirm.
The same picker also lets you:
- Choose Other offices if you are working from a different location than your default office
- Turn on Half day to set one status for the First half and another for the Second half of the day — this option is not available by default and needs to be configured by your admin
- Select Remove status to clear the day again
⚠️ The statuses you see are configured by your company, so your list may look different from the example above.
Status reset after cancelling a booking: if you cancel your last desk or parking booking for a day where your status is Office, deskbird asks you to update your status. You can switch to another status, reset it, or keep Office. This keeps your team's attendance data accurate.
You can also split a day into two halves with half-day scheduling.
3. Plan multiple days at once
You can set any other day in the week or month calendar the same way. If your week usually looks the same, save time with Weekly preferences instead — these have not changed:
- Click your profile picture or initials in the bottom-left corner.
- Go to Profile > Hybrid preferences.
- Under Weekly schedule preferences, choose a status for each weekday from Monday to Friday.
- Click Save.
deskbird applies your preferences up to two months in advance and keeps rolling the schedule forward automatically each month. You can update them at any time, or clear them with Reset weekly preferences.
⚠️ Saturday and Sunday are not supported by Weekly preferences.
4. View your colleagues' schedules
To see when your colleagues plan to be in the office or work remotely:
- In the Plan tab, click any day. You will see who is in the office that day, with the colleagues you follow shown first.
- To follow someone, click Follow colleagues and then the star next to their name. A purple star means you are following them.
- For a wider view, switch to the Colleagues or Your team tab. The day you picked in the calendar stays selected, and you get the full week per colleague.
- Use Search colleague, the User groups filter, or the Following filter to narrow the list down.
💡 Depending on your company's privacy settings, some colleagues may not appear.
5. Check how busy the office is
On an office day, the Day in the office card shows you what to expect before you go:
- Which colleagues are in the office that day — click Show all colleagues for the full list
- Office occupancy for desks, parking and meeting rooms
- Announcements for that day, such as an area that is temporarily closed
If there is nothing to show for a section, that section is hidden.
6. Office week
The Office week card compares the weekdays of the selected week with each other, so you can see which days your office is usually busiest. Use it to pick a quieter day, or the day most of your colleagues are already planning for. Hover over a bar to see how many colleagues are in the office that day, including the ones you follow.
7. Track your on-site policy progress
If your company uses hybrid work policies, the On-site policy card shows how you are doing. Click Details to expand it.
- Each rule has its own ring: weekly, monthly or yearly
- A badge tells you whether you are

💡 If you manage a team, you will see the same breakdown for your team members on the Your team tab.
8. Plan on the mobile app
Planning in the mobile app works the same way, in the Plan tab. There are three differences compared to the web app.
Calendar picker: the top of the screen shows three days at a time. Tap the arrow below them to expand the full month.
Swipe navigation: swipe left or right anywhere on the screen to move between days, not only on the calendar.
Personalization: tap the three-dot menu at the top right and select Personalize feed to show only the cards that are relevant to you. Use the eye icon to hide or show a card and the drag handle to reorder it. The same menu also lets you create a workplace ticket, view events, and switch back to the old planning experience.
9. FAQs
Yes. Click the day in your Plan tab and select a new status at any time. Depending on your company's settings, you may also be able to edit past days. If your company requires manager approval for schedule changes, submitting a new status starts the approval workflow.
Half-day scheduling lets you set two different statuses for the same day, for example Office in the morning and Home Office in the afternoon. Turn on the Half day toggle when setting your status, then pick a status for the First half and the Second half. Half-day scheduling is not available by default and must be configured by your company admin. See Use half-day scheduling for full instructions.
Your company's privacy settings decide whose schedule is visible to you. If a colleague is missing from the Colleagues tab or from the day overview, their profile is most likely hidden by those settings. Contact your workplace admin if you think this is not correct.
Yes. In the mobile app, tap the three-dot menu in the Plan tab and select Switch to old planning experience. On web, click your profile picture or initials in the bottom-left corner and go to Profile > New planning experience. Some companies turn the new experience on for everyone — if you do not see the option, your company has already moved you over. If you do switch back, we would love your feedback so we can keep improving Plan.
