deskbird lets you create office events directly from your Schedule view, invite colleagues, and track who is planning to attend — helping you bring people together and boost in-office collaboration.
1. Create an event
⚠️ Event creation permissions depend on your company's settings. By default, only admins can create events. Your admin may also grant this ability to managers or individual users. If you do not see the option to create an event, contact your admin.
To create an event from your personal Schedule view:
- Go to the Schedule tab.
- Below the calendar, find the View all upcoming events section and click the ➕ icon next to it.
- Fill in the event form:
- Event name and optional emoji
- Date and time
- Location
- Optional Description
- RSVP settings and optional attendance limit
- Click Publish event to share it with invitees.
💡 If you set an attendance limit, it cannot be changed after the event is published. Once the limit is reached, additional sign-ups are placed on a waitlist automatically.
2. Invite colleagues
During event creation, use the Invitees field to choose who receives an invitation:
- User groups — invite an entire department or team at once
- Individual users — add specific colleagues by name
- Entire offices — invite everyone assigned to a particular office location
Invited colleagues will see the event highlighted in their Schedule tab and can RSVP directly from there. If calendar sync is enabled, the event is also added to their calendar when they accept.
💡 Event creation and editing are supported on the web app and Microsoft Teams. On the deskbird mobile app, you can view and RSVP to events but cannot create or edit them.
3. Edit or delete an event
To edit an event you have created:
- Open the event from the View all upcoming events list in your Schedule tab.
- Click Edit and update the details as needed.
- Save your changes. Invitees will be notified of any updates.
To delete an event:
- Open the event and click Delete.
- Confirm the deletion. The event is removed from all invitees' schedules and calendars.
⚠️ Deleting an event cannot be undone. All RSVPs and calendar entries associated with the event will be removed.
