As a manager in deskbird, you can view your team's planned schedules for the week and approve or reject schedule submissions when your company's hybrid work policy requires manager sign-off. This gives you full visibility over who plans to be in the office or working remotely.
1. View your team's schedule
Your team's schedules are available in the Your team tab in deskbird. This tab appears in your Schedule view if you have direct reports assigned to you via manager relations.
- Go to the Schedule tab.
- Select the Your team tab (next to Personal feed).
- View all team members' planned statuses for the week in a single overview.
From this view you can:
- See each team member's day-by-day status (
Office,Mobile work,Absent, etc.) - Identify who is following the company's hybrid work policy
- See any pending approval requests
💡 The Your team tab only appears if you are set as the manager for at least one team member in deskbird. If you do not see it, contact your admin to verify your manager relation is configured.
2. Approve a schedule request
When a team member submits their weekly schedule for approval, you will receive an email notification and see a Pending request in the Your team tab.
To approve a request:
- Go to the Schedule tab and select Your team.
- Find the team member with a pending request.
- Click on the request to review the submitted schedule.
- Click Approve to confirm the schedule.
The team member's status updates to Approved and they receive a confirmation. Their existing bookings are preserved.
3. Reject a schedule request
If the submitted schedule does not align with team needs or company policy, you can reject it:
- Go to the Schedule tab and select Your team.
- Find the team member with a pending request.
- Click on the request to review the submitted schedule.
- Click Reject.
The team member is notified by email and their schedule status changes to Rejected. Their existing bookings are not affected — they will need to update their schedule and resubmit for approval.

The Your team tab is only shown if you have direct reports assigned to you via manager relations in deskbird, and if those team members are covered by a hybrid work policy that requires approval. If neither condition is met, the tab will not appear. Contact your deskbird admin to check your manager relation setup.
No. Rejecting a schedule request only affects the weekly status submission — it does not cancel any desk, parking, or room bookings the employee has already made. The employee will need to update and resubmit their schedule; their bookings will continue to apply once the revised schedule is approved.
Yes. Go to the Colleagues tab in the Schedule view, select the team member from the dropdown, and choose a status for each day. Click Save to confirm. If notifications are enabled, the team member will be informed by email. You can optionally add a note before saving to provide context.
