Some companies require employees to submit their weekly work schedule for manager approval. When this is the case, deskbird guides you through a simple submission flow so your manager can review and confirm your planned attendance before the week begins.
- When approval is required
- Submit your schedule
- Check approval status
- What happens if your schedule is rejected
1. When approval is required
Manager approval for weekly schedules is part of your company's hybrid work policy. Your schedule requires approval when your admin has configured the policy with an Approval required workflow. You will know this applies to you if:
- deskbird prompts you to submit your schedule after setting your statuses for the week
- You see a pending or approved/rejected status indicator in your Schedule tab
If no approval is required at your company, your schedule status is confirmed automatically as soon as you set it.
2. Submit your schedule
To submit your weekly schedule for approval:
- Go to the Schedule tab.
- Set your status for each day of the week as you normally would (see Plan your work week).
- When your statuses are set, deskbird will show a Submit for approval prompt or button.
- Click Submit to send the request to your manager.
💡 You can optionally add a note to your submission to provide context for your manager.
Your manager will be notified by email and can approve or reject your request from their Your team view.
3. Check approval status
After submitting, your schedule shows a status indicator for the week:
-
Pending— your request has been submitted and is awaiting your manager's review -
Approved— your manager has confirmed your schedule -
Rejected— your manager has declined the request (you will also receive an email notification)
You can check the current status at any time from your Schedule tab. The compliance indicator in your deskbird feed (web or mobile) also shows whether your schedule is on track with your hybrid work policy.
4. What happens if your schedule is rejected
If your manager rejects your schedule:
- You will receive an email notification.
- The schedule status in your Schedule tab changes to
Rejected. - Your existing desk or resource bookings are not automatically cancelled — they remain in place.
- Update your daily statuses to reflect a revised plan, then submit again for approval.
💡 Once your manager approves the updated request, your existing bookings will continue to apply alongside the new schedule.
