If you organize meetings for others, for example as an assistant, team lead or office manager, you can book a meeting room on behalf of a colleague. The booking is then made for your colleague instead of you. This article explains who can do this and how it works in the deskbird web app.
1. Who can book a room for a colleague
Booking for others depends on your role in deskbird:
- Group Managers can book for members of the groups they manage.
- Managers can book for anyone in the company.
- Office Admins and Global Admins can book for others too.
If you don't see the option to book for someone else, ask your admin to check your role. For booking a desk instead of a room, see Book a desk on behalf of a colleague.
2. Book a meeting room for a colleague
- Go to Book > Meeting rooms and select the office and the day.
- On the room's row, click and drag across the time slot you want. A booking panel opens.
- Under Who is this booking for?, remove yourself and search for your colleague's name.
- Fill in the meeting title and, if needed, invitees, a conference link or catering and services.
- Click Confirm booking. If the room requires approval, the button reads Request booking instead.
💡 Tip: To invite other colleagues to the meeting, add them under Invitees. For everything else in the booking panel, see Book a meeting room.
3. FAQs
- As a Group Manager, you can only book for members of the groups you manage. Check with your admin whether your colleague is in one of them.
- Check that your colleague has a deskbird account in your company.
- If the room is restricted and hidden from your colleague, you can't book it for them. Choose another room, or ask your admin to give your colleague access.
If the room needs a check-in, anyone can tap Check in at the room panel. See Check in to a meeting room.
You can only book for people with a deskbird account. For external guests, book the room for yourself or a colleague, then click Add a visit under Visitor management in the booking panel, if your company uses visitor management. See Pre-register a visitor.
