The room panel — a tablet mounted outside the meeting room door — lets you check in to an existing booking or make an on-the-spot reservation without opening the deskbird app. The panel shows real-time availability and updates instantly when a booking is made.

1. Check in to your existing booking at the panel
If you have a booking that is about to start, the panel shows it when you approach the room:
- Look at the panel outside the room. If the screen shows an orange indicator, the room is awaiting check-in for an upcoming meeting.
- Tap your booking on the screen.
- Tap Check in to confirm your arrival.
The panel turns green to show the room is occupied and your meeting is confirmed.
💡 If you need to end the meeting before the scheduled end time, tap End meeting on the panel. This releases the room immediately for others.
2. Make an ad-hoc booking at the panel
If the room is currently free, you can book it on the spot:
- Check that the panel shows a green indicator, confirming the room is available.
- Tap Book now.
- Choose an available time slot from the options shown.
- Enter a meeting title, or select from any preset options displayed.
- Select the meeting duration.
- Tap Confirm. The room schedule updates immediately and the panel reflects the new booking.
⚠️ It is not possible to cancel or edit an existing booking from the panel. To change or cancel a booking, use the deskbird app or web platform.
3. Extend a booking from the panel
If your meeting is running over and the room is free afterward, you can extend your booking directly at the panel:
- While your meeting is in progress, tap the panel screen.
- Select the Extend option.
- Choose how much additional time you need from the available options.
- Confirm the extension.
The extension is only available if the room is free for that additional time. If another booking immediately follows yours, the option will not appear.
4. FAQs
The panel shows the room name, its current availability status, and the schedule for the day. If data protection is enabled for your office, only the organizer's name is shown for each meeting — the title and other details remain hidden. If data protection is off, meeting details follow individual event privacy settings, and private meetings show only the organizer's name.
The panel (and any connected LED indicator) uses three colours to signal room status at a glance:
- Green — The room is available and can be booked.
- Orange — The room has a booking that is awaiting check-in. If no one checks in, the room will be released.
- Red — The room is booked and a meeting is currently in progress.
