deskbird's Visits tab gives you a clear overview of all the visitor invitations you have created, including upcoming and past visits. From here you can review details, make changes, or cancel a visit at any time.
1. View your visitor invitations
To see your visitor invitations, go to Visits in the main menu. The list shows all visits you have created, including:
- Visit title, date, and time.
- The visitor(s) associated with the visit and their current status (e.g.
Invited,Checked in,Checked out).
💡 Regular users can only see visits they have created themselves. Receptionists can view all visits for their assigned office, and global admins can see visits across all offices.
2. Edit a visitor invitation
To update an existing visit:
- Go to Visits in the main menu.
- Find the visit you want to change and open its three-dot menu (⋮).
- Select Edit visit.
- Update the relevant fields — such as the title, date and time, instructions, or visitor details.
- Save your changes. deskbird will ask whether you want to notify the visitor(s) of the update.
If you choose to notify, the visitor receives a Visit changed email with the updated details.
💡 You can also update individual visitor details (name, email, or company) directly from the visitor dashboard using the pen icon next to the visitor's entry.
3. Cancel a visitor invitation
To cancel a visit entirely:
- Go to Visits in the main menu.
- Open the three-dot menu (⋮) next to the visit.
- Select Delete visit.
- Choose whether to send a cancellation email to the visitor(s), then confirm.
⚠️ Deleting a visit is permanent. If you only need to remove one visitor from a multi-visitor visit, use the bin icon next to that visitor's entry on the dashboard rather than deleting the entire visit.
