deskbird gives you control over what colleagues can see about you — including your booking details, weekly schedule, and profile visibility. This article explains the personal privacy controls available to every user.

1. What you can control
Your personal privacy settings are found in your profile under Profile > Privacy settings. Depending on your company's configuration, you may be able to adjust:
- Whether your profile is
publicorprivate - Whether colleagues need to follow you before seeing your schedule and bookings
- Whether you contribute anonymised usage data for product analytics
⚠️ Some options may be greyed out if your company admin has fixed a setting for all users. If you cannot change a setting you expect to control, contact your admin.
2. Hide your booking details
By default, colleagues can see which desk or resource you have booked. To opt out of anonymised analytics data collection that improves the deskbird platform:
- Open your profile and go to Privacy settings.
- Find the Data privacy option.
- Toggle it to opt in or out of performance and analytics data collection.
- Click Save.
This setting does not affect what your colleagues can see — it only controls whether anonymised usage data is shared to help improve the product.
3. Set your schedule to private
If your company has enabled private profiles, you can switch your profile to private so that colleagues must send you a follow request before seeing your schedule and bookings.
- Open your profile and go to Privacy settings.
- Find the Private profile toggle.
- Enable it to set your profile to
private. - Click Save.
Once your profile is private, a colleague must send you a follow request and you must accept it before they can view your schedule or bookings. You can approve or decline follow requests from your profile.
4. Control your presence visibility
Your presence — whether you are shown as in the office on a given day — is visible to colleagues based on your bookings and schedule. To limit who can see this:
- Set your profile to
private(see above) so only approved followers see your in-office days. - If you do not want to appear on the office map for a booking, check whether your admin has enabled anonymous booking options for your organisation.
💡 Managers and admins with elevated roles can always see your presence regardless of your privacy settings — this is by design to support team coordination and safety requirements.
