Have you already set up the floors, areas, and desks of your office by following this guide? Great! You can now create the interactive floor plan of your office.
1. Floor plan background picture
Open the deskbird web app > Navigate to the Admin Portal > Office Settings > Floors & Spaces. Here, you will see the +Add floor plan button.

Please upload (or drag & drop) a background picture for your interactive floor plan (ideally with desks already visually indicated). The accepted formats are .jpg, .jpeg and .png. If your picture is not in one of these formats, you can easily convert it with a free online tool.
Alternatively, you can contact our Customer Service at support@deskbird.com, who will gladly do it for you.
Make sure to click save!
2. Add areas and desks
Your screen should now look like this. You can see your floor plan layout in the middle and the areas that you´re going to place on the right. The yellow bar at the top indicates that you haven´t published the floor plan yet.
💡 Please note that you always need to add areas and desks in the “Floors & spaces” page first before you can place them on the floor plan. If you haven't done this yet, click here.
You can zoom in/out or undo the last action from this view.
3. Place areas & desks
To place the area (e.g. UX Team Area), navigate to the right section of the page, where you can see a list of the areas you have previously created. Now click on the three dots next to the area you want to place first.
Here you can:
- Change status, i.e. by setting the area on active/inactive.
- Place square, i.e. a square will automatically appear on your floor plan. You can now adjust it according to the shape and position you prefer. Click Save.
- Place custom shapes (recommended for complex shapes)
You can simply start by clicking on the edges of the area you want to place. Afterward, you can start drawing lines that you can connect through the dots. It might sound complicated but try it out and you’ll see how easy it is. In the end, remember to close the shape.
Make sure to save (by clicking on Save at the top of the page) after placing your areas to ensure they aren’t lost by accident.
To place the desks, simply drag & drop the purple circle to the correct position on the floor plan. Please note that you can only place desks within their specific area.
You can also set the status of the desk from there (active/inactive). This step would be helpful if, for example, the physical desk is available, but there is not a dedicated workstation for that. Or if you have forgotten to set the desk as inactive before.
No matter its status, you can always place the desk in the right area.
At this point, you should be able to move around the different areas by clicking on the arrow on the right or by clicking twice on the floorplan, on the area you wish to place desks in.
You can also verify that all the desks (items) are correctly set up, as well as their corresponding status (active/inactive). You can also easily go back to the office configuration in case you wish to edit, add, or delete anything else.
The areas and the desks are ready.
💡 Make sure to save them!
4. Publish the floor plan
If the floor plan is ready, you can decide to Publish the floor plan.
💡 The floor plan will not be visible to users until you have published it.
