Before You Begin
- Ensure you have an active subscription to Desks Enterprise, Workforce Enterprise, or the dedicated User & Data Management add-on.
- Set up an API key with your HRIS system with appropriate permissions enabled.
Permissions Required
Your HRIS API integration must have permissions to access:
- Essential User Attributes: Email, First Name, Last Name, User Status (active/inactive).
- Optional Attributes: Profile images, supervisor details, team, department, cost center, or additional organizational groups.
Example Setup with Personio
- Navigate to Settings → Integrations → API credentials in Personio.
- Create a custom integration named "deskbird user and group sync."
- Grant read permissions for:
- Employees (for user provisioning)
- Org Units (for groups synchronization)
- Absences (optional for absence management)
- Ensure the required attributes (Email, First Name, Last Name, Status, Last Modified) are selected.

Configuration in deskbird
- In the deskbird Admin section, go to Integrations and select Sync with your HRIS.
- Enable the "Organization" sync and choose your HRIS provider from the available options.
- Enter your API credentials and follow the guided configuration steps.
Sync Outcomes
- Users:
- New employees in your HRIS automatically appear in deskbird.
- Employees who leave or become inactive are automatically deactivated in deskbird.
- deskbird recognizes and manages existing users based on matching email addresses during initial sync.
- Groups:
- Automatically reflect your organizational structure from the HRIS.
- Continuously updated, clearly indicating the HRIS as the source.
- Manager Relations:
- Automatically synced to support advanced workflow processes.
Known Issues
- Certain HRIS providers may not support parent or nested groups.
- Profile picture synchronisation may be unavailable from select HRIS providers.
