Here are the answers to common questions about managing and customizing floor plans within our platform:
1. How can I change or delete the existing floor plan picture?
To modify or replace your existing floor plan picture, follow these steps.
- Open the Admin Portal on our web app.
- Click on Floors and spaces.
- Choose the specific floor plan you wish to edit.
- Click on the Edit floor plan option.
- Under the Edit floor plan picture section, move your cursor to the middle of the page. You will see the options drag & drop or click here to upload a new picture.
💡 You don't need to delete the old picture. Simply upload the new one to replace it.
💡 Please ensure your image is in one of the accepted formats, such as jpg, jpeg, or png.
2. My floor plan picture is in *format deskbird doesn't accept*. What should I do?
If your floor plan is in a format our web app does not accept, you have a couple of options:
- Use an online converter, such as PDF to JPG, to convert your PDF file into a compatible format.
- Alternatively, contact our support team, and we'll be happy to assist you with the conversion.
3. Can I upload a new floor plan picture after placing all the areas and desks?
You can follow (1) to upload a new picture. Once your new picture is uploaded, you'll notice that the positioned areas and desks remain unchanged. This logic ensures that minor picture alterations preserve your original layout, while for significant changes, you can effortlessly modify area shapes and reposition desks.
💡 Disabling or erasing resources and areas carries significant implications. If you mark a resource or an area as inactive, any associated bookings will be deleted. Deleting a desk or an area will remove connected bookings, rendering their respective QR codes unusable. Before making these kinds of alterations (setting to inactive/deleting) to areas and desks, consider the impact on bookings carefully.
4. The floor plan is not visible to users. Why?
If your floor plan isn't visible to users, it is probably because of one of these two reasons:
- All desks and/or areas within the floor are still inactive
Go to the Admin Portal > Floors and spaces > Select the floors, areas or desks you want to activate. - The floor plan has not been published yet
To make it visible to all users:

- Go to the Admin Portal.
- Click on Floors and spaces > Edit floor plan.
- Click on the Publish button in the right upper corner.
5. The floor plan is visible, but the desk numbers and user initials are not. What should I do?
If the desk numbers and user initials are not visible, your IT department may need to whitelist specific URLs to ensure proper functionality. Please reach out to our support team, and we will provide the necessary assistance to resolve this issue.
